Online Affiliate – Frequently Asked Questions

1. I work as a third-party administrator for a provider group/organization, are there additional forms I need to complete to gain access to Online Affiliate?

If you are part of a third-party organization and are contracted to perform claim, billing, or patient verification services on behalf of a provider group, additional forms are required.

Please send an email to your Online Affiliate regional representative and request third-party administrator access forms.

2. I am already registered but need to modify my account profile and/or add a new provider Tax ID association.

You can make changes to your user account profile by signing in to "Manage my account."

Once signed in, you can make the following account changes:

  • Remove a provider Tax ID association.
  • Edit your user profile such as personal, work, and supervisor information
  • Initiate a request to add a new provider Tax ID association or register for a new region. Please ensure your group has a provider entity agreement on file before adding a new provider Tax ID association or region. You may reach out to your Online Affiliate regional representative to confirm we received an entity agreement.

3. I have forgotten my password or lost my User ID. How do I reset my password or locate my User ID?

You may use our self-service feature to locate your User ID or reset your password.

Please be advised of the password guidelines on page 16 of the User Registration Guide. If your new password does not fit the guidelines, you will receive an error message.

Refer to the User Registration Guide for additional details for resetting your password.

4. I was previously able to login to my Online Affiliate account but now am getting an error.

If you are having issues logging into Online Affiliate and could successfully sign in previously, please try the following troubleshooting activities.

Clear your internet cookies and cache.

You can do this by opening your internet browser settings (or titled options) to clear your cache and cookies. If you are using Google Chrome, be sure to set "Time Range" to "All time."

Once cleared, close out all your open browsers and proceed to sign on.

If the issue persists, send an email to your Online Affiliate regional representative and describe the error you received and the troubleshooting steps you took.

5. I am having issues with logging in to the Tridiuum Behavioral Health portal.
(Only applicable for California regions)

If you are experiencing technical or login issues with the Triduum Behavioral Health portal, please send an email to your regional Tridiuum application support representative:

6. I have an existing account but am now employed with a different group. How do I update my email address and provider associations?

You can update your email address, work information, and provider association by signing in to “Manage my account” and selecting ‘Profile”.

7. How do I know which Tax ID’s I have access to?

You can view your provider Tax ID associations by signing in to “Manage my account”, and selecting “Provider associations and access”.

8. My group updated its Tax ID. How do I update this to reflect in my Online Affiliate account?

If your group has changed its Tax ID, please notify your Online Affiliate regional representative* to make the appropriate changes in our systems. You may need to submit proof of the Tax ID change by providing a copy of your W9.

In addition, you will need to submit a request to add your new Tax ID association (refer to question 2 on making changes to your user account).

For contracted providers only.

You may need to notify your contracting team of the Tax ID change. Please refer to your region's provider manual on how to do so:

9. I have Online Affiliate access to multiple Kaiser Permanente regions/areas. How can I navigate from region to region?

If you were approved for access to multiple regions, you can easily navigate from region to region within the “Manage my account” section.
